Kōrero mō te tūranga - About the role

Te Herenga Waka - Victoria University of Wellington is currently recruiting a Mata Ahupae - Faculty Administrator for Te Wāhanga Tātai Hauora - Faculty of Health. This is a fixed-term, full-time role from May to December 2024. The role will be supported by, and work closely with, the Faculty’s professional team to deliver effective and efficient administration services to the Office of the Dean and the wider Faculty as required. It requires a level of flexibility and ability to integrate individual duties with the work of others to achieve team goals in a busy work environment.

Key responsibilities:

  • Coordinate Faculty meeting requirements, including preparation and distribution of agendas, recording minutes, and overseeing action lists.
  • Liaise with course coordinators, programme directors and research project managers to provide administration support as required.
  • Innovatively support Faculty events and functions including, but not limited to room bookings, arranging audio/visual support, catering, carparking etc.  
  • Assist with drafting, editing, and formatting correspondence, reports, formal documentation, presentations, and spreadsheets.
  • Triage enquiries received to generic email addresses in the Faculty ensuring prompt, informed responses are given.

You will enjoy working independently when possible and be seeking the opportunity to gain or add to your own experience in the tertiary sector by developing skills in a wide range of Faculty-based administration tasks.

Key requirements:

  • Commitment to te Tiriti o Waitangi and its obligations to Māori as tangata whenua and Treaty partners.
  • Demonstrated ability to manage time, prioritise, plan, and handle unpredictable workload under pressure. 
  • Knowledge of and experience in a range of computer applications including Microsoft Outlook, Word, Excel, PowerPoint, and SharePoint. 
  • Proven ability to use initiative, problem solve and prioritise tasks to meet deadlines with excellent attention to detail. 
  • Experience building and maintaining working relationships with diverse communities and stakeholder groups.
  • Excellent written and oral communication skills.
